Role and Responsibilities

Support the Direct Marketing Officer in executing direct marketing campaigns to develop and deepen supporter relationships and continue to inspire global support. Work on a wide range of channels, including direct mail, outdoor advertising, telemarketing, digital communications and other innovative methods to raise new relationships and financial support from individual supporters in Switzerland. Responsible for planning, managing and implementing direct mail production across Switzerland, plus co-ordinating with other markets, including management of external suppliers, agencies, other partners and related financial aspects. Responsible for monitoring and evaluating all direct mail production tools and recommending improvements.

Key Activity Areas

Direct Marketing Production

  • Fund Appeal retro planning: create, inform & negotiate with all people / suppliers involved.

  • Call to tender, request quotes and determine best offers in agreement with Logistic standards.

  • Finalise address lists for the printer.

  • Project manage each appeals plans (remind relevant people when needed, check, feedback, ask for changes and find solutions when problems arises) with internal and external stakeholders.

     

    Direct Marketing Administration

  • Supervise contracts with all suppliers and follow up (Broker/Printer/PAO/Translator etc.).

  • Regular supplier watch – research new production tools (prospect sources, printing techniques etc.).

  • Write authorisation requests & FA report to local Vaud authorities with relevant budget.

  • Submit Fundraising campaign planning to ZEWO and send samples to them.

  • Update dashboard and circulate it to relevant people.

     

    Direct Marketing Post Production

  • Make archive boards for each mailing.

  • Code invoices for Finance and report the costs in the Prod Process sheet and save in relevant folders.

  • Make mail return statistics, feedback with brokers and negotiate if needed.

  • Take care of stocks and available documents for the department (letterhead / additional Medair News / Welcome brochures...).

     

    Paid and Free Advertising

  • Secure and manage paid and free print, TV, online and radio placement of Medair communications and fundraising content via media advertising channels in Switzerland.

     

    General

  • Ensure all content produced for Medair complies with brand and tone of voice guidelines.

  • Coordinate and ensure smooth integration and care of volunteers and interns supporting Direct Marketing activities.

  • Communicate and work closely with others in the department to maximize all efforts by maintaining consistency and integration.

  • Plan, execute, monitor and evaluate all actions to bring necessary corrections / improvements.

     

    This job description covers the main tasks and conveys the spirit of the sort of tasks that are anticipated proactively from staff. Other tasks may be assigned as necessary according to organisational needs

     

    Qualifications

  • Office administration degree, Swiss Federal Certificate in administration (CFC Employé de Commerce) or a similar degree or experience in relevant field

  • Project management qualification or Swiss Sawi diploma « Spécialiste en Marketing » desirable

 

Languages

  • Strong working knowledge of French (spoken and written)

  • Knowledge of English (spoken and written)

  • Working knowledge of German (spoken and written)

     

    Experience / Competencies

  • 1 year administration or project management or commercial experience

  • 2 years’ marketing or professional fundraising experience desirable

  • Goal and performance oriented; confirmed project management skills, very organised and thorough

  • Strong negotiation skills with suppliers; meticulous attention to detail; good proofreading skills

  • Strong communication skills
