We are looking for an organised and motivated individual to join us as Executive Assistant providing quality, proactive administrative support to the Senior Leadership Team (SLT).

We work with organisations from the not-for-profit, public and private sector, technology industry and universities to help local communities across the world to become more resilient in the face of disaster. As Executive Assistant you will provide direct support for the Academy Chief Executive Officer and Global Directors, including arranging and note-taking in meetings, correspondence and email coordination, expenses and proactive management of diary and production of day files for each SLT member. In addition you will:

  • Identify opportunities for improvement in the SLT whilst providing proactive technological and practical solutions
  • Support the SLT with preparation for recruitment and interviews
  • Oversee staff travel approvals and arrangements, working with colleagues to produce complex itineraries and packs, and securing visas
  • Undertake any other duties as required to meet the changing needs of the business.

To be successful you will have experience of working as an Executive or Personal Assistant in an office environment undertaking complex and varied administrative duties. You will have experience of using and maintaining a range of filing systems and be highly output orientated. In addition you will:

  • Have outstanding organisation and administration skills, with a proven ability to manage multiple priorities and deadlines
  • Be highly technologically literate with confidence in Microsoft Office, Share-point and basic accountancy software
  • Have experience of coordinating travel arrangements, including transport, accommodation, visas and itineraries
  • Have substantial levels of personal resilience enabling you to operate in a highly complex environment
  • Possess strong written and verbal communication skills.
