Role and Responsibilities

Support the Database & Fulfilment Officer in meeting needs of the team by updating and providing administrative support to the donor database. Carry out gift data entry, follow-up and cleaning. Ensure effective thanking and fulfilment. Provide technical support to donor relation activities, and coordinate relevant volunteers.

 

Project Overview

Medair Headquarters (HQ) provides operational guidance for country programmes and activities, along with both technical and compassionate support for our relief workers. Within our headquarters, we are also responsible for promoting the work of Medair to the world, to raise and manage the funds needed to run our life-saving and sustaining programmes. Our headquarters teams are also responsible for recruiting international and HQ staff, and like our field teams, we are committed to serve the world’s most vulnerable with practical and compassionate care.

Initial Contract Details

Part time (80%), open-ended contract

 

Key Activity Areas

Gift Data Entry and Follow-up  

  • Carry out data entry of gifts and donor details.

  • Dispatch (allocate thanking tasks to relationship owners) and follow-up the thanking process.

  • Manage the Thank You letter and phone call process.

  • Check Thank You phone call scripts and Thank You letter content and logic, and suggest improvements.

  • Identify exceptional gifts to adapt the Thank You.

  • Validate data entry.

     

    Database Administration

  • Give feedback to HQ Finance with allocations of gifts.

  • Carry out financial reconciliation between Donor Database and HQ Finance systems.

     

    Coordination of Volunteers

  • Dispatch and follow-up the thanking process.

     

    Other Database Support and Projects

  • Clean, archive data, etc.

  • Carry the database extractions as requested by the team.

     

    Qualifications

    • Training in computer tools

    • Training in marketing and sales desirable

       

      Languages

    • Fluent in French (spoken and written)

    • Working knowledge of English (spoken and written)

    • Working knowledge of German (spoken and written) desirable

 

Experience / Competencies

  • Experience in working with databases

  • Experience in supporting marketing, sales or relationship management desirable

  • Affinity for software and computers

  • Able to work effectively under pressure

  • Extremely conscientious, trustworthy, logical, effective and organised

  • Able to quickly learn and implement new tools

  • Proactive approach

  • Well-able to lead volunteers

  • Capable of working in a multi­cultural environment

  • Keen to cooperate positively with colleagues and with a servant spirit

 

Medair Standard Working Requirements for the International Headquarters

  • Committed Christians; commitment to the Medair values

  • Reflect the vision and values of Medair when interacting with team members and external contacts

  • At least one year of professional experience in a relevant field (more experience preferred)

  • Strong working knowledge of English (spoken and written)

  • Working knowledge of French (spoken and written) for French-speaking roles

  • Competent with MS Office Word, Excel, PowerPoint and Outlook

  • Motivated by a spirit of service

  • Solid team player
