Save the Children’s origins lie in emergency response and it has remained central to our work ever since. With the increasing frequency and severity of emergencies world-wide the organisation is in the process of increasing its standby capacity to support programmes.

As the Humanitarian Department coordinator you will provide administrative support and act as a focal point for the Humanitarian Department; to ensure effective systems are in place to facilitate the smooth running of the department under the supervision of the Programme Manager.

Your responsibilities will include:

  • Scheduling and taking minutes for meetings and tracking actions through to completion.
  • Organising the Humanitarian Department awaydays and the monthly induction week for all new starters.
  • Maintaining electronic filing systems; updating information on the intranet; and ensuring distribution lists are kept up-to-date.
  • Cascading information to the department as required.
  • Booking travel for members of the department as required.
  • Process internal and external invoices for the humanitarian department; keep up-to-date tracking systems of payments processed, expenses claimed, and purchases made to ensure financial accountability and transparency.
  • Chair the Humanitarian Department Coordinators Group to share information and best practice among team coordinators in the department.

To be successful you will have:

  • Strong organisational and time management skills with the ability to work under pressure and meet deadlines while maintaining attention to detail.
  • Computer literacy, including fast and accurate word processing, good presentation skills and use of e-mail and electronic diaries.
  • Demonstrative administrative and general office experience, including knowledge and experience of developing administrative systems, databases and experience of arranging overseas travel.
  • A flexible approach to work, an understanding of team working and a willingness to be an active and supportive member of a team working at times under extreme pressure during humanitarian emergencies.
