We are looking for a highly qualified Admin and Grants Officer at the DRC Division for Emergencies, Safety and Supply (DESS) who can contribute to the daily operation and financial management of DESS and particularly the two Units, Safety and Emergency Supply.

Who are we? 

DESS is one of three Divisions in DRC’s International Department focusing on responding quickly to new emergencies, making sure that our staff in the field are safe, that we have the needed supply, seconding people to the UN system in emergencies and ensuring and integrating Mine Action and Armed Violence Reduction both in emergencies but also broadly and in line with relevant international agendas focusing on safety and stabilisation.

Particularly, the AGO will work with the Head of DESS and operationally in support of the two teams Safety and Emergency & Suply.

The Safety Team, currently constituting three people, is handling the personal safety for all expatriate staff in the field. They are as well conducting a series of security trainings.

The Emergency & Supply Team currently consist of four persons focusing on emergency programming and procurement and supply. The Team is responsible for DRC quick response to emergencies including negotiating and dealing with emergency contracts.

About the job

The Safety team has a great need for finance support focusing particularly on salaries and management of training budgets.

The Emergency & Supply Team has a need for support on finances in terms of salaries and grants management and financial support to the running of the teams expenses.

The AGO will also assist the entire division of DESS and the Head of DESS with setting up meetings, writting minutes, etc.

The AGO will refer to the Head of DESS. 

Duties and Responsibilities

  • Responsible for all tasks related to financial management within both teams, ensuring salary bookings are made timely, actions points from budget follow up with finance are implemented, status reports are produced and shared, bills are paid timely, etc.
  • Grants management for both teams, including reporting in the DRC Grants Management System, in order to ensure that data are registered and adhered to for reporting and produced on budgets as per donor requirements. Assist in budgeting, requesting contracts, etc.
  • Assist in the recruitments of field staff and consultants, including all practical tasks related to the deployments. Debriefing and closure of deployments, including financial settlements, and invoicing, booking of flight tickets, visa applications etc.
  • Contribute to the continuous development and improvement of financial and admin procedures within the Teams.
  • Back-stopping and ad hoc assignments in the Teams.
  • Particularly for Safety, assist in the financial and logistics management of the safety trainings, including taking part and performing practical operational role in many of the trainings.
  • Perform service to DESS and the Chief of DESS in regard to setting up staff meetings, producing minutes from same meetings and other meetings as decided by Chief of DESS.

About you

To be successful in this role you must have:

  • Demonstrated interest in refugees and displacement related issues.
  • Fluent in English, written and spoken.
  • Flair for working with administrative, financial and logistical aspects of humanitarian work.
  • Experience with Excel and ERP systems is considered an advantage.
  • Willing to learn, independent, flexible and well-developed interpersonal skills
  • Thorough and diligent with the ability to multitask.

We offer

DRC will offer the successful applicant a one year contract, renewable dependent on both funding and performance. You must be available to start work as soon as possible.

Salary and conditions will be in accordance with the applicable agreement within the area of HK salary scale (The Danish Trade and office agreement).
