We are looking for highly qualified, self-motivated Grants manager. The Grants Manager is responsible for the effective management of the DRC and Danish Demining Group (DDG) South Sudan county program grants portfolio in accordance with donor and organizational regulations. Primary responsibilities will include developing a strong understanding of all donor contracts, information management of project documents, leading interim and final reporting processes, supporting program teams in the development of new project proposals, coordinating the opening of new projects and providing general support to the Head of Programmes and Country Director.  


WHO ARE WE?

Danish Refugee Council (DRC), established in 1956, is an international nongovernmental organization whose mandate it is to provide protection and promote durable solutions for conflict-affected populations throughout the world. The organization has been in South Sudan, previously southern Sudan, since 2004 working with refugees, internally displaced people and returnees. In 2012, DRC established operations in Maban County, Upper Nile State to respond to the large influx of refugees from Blue Nile state, Sudan. Subsequently, in early 2013, DRC expanded its refugee response operations to Pariang County, Unity State where it participated in the establishment and now management of Ajoung Thok refugee camp. Since December 2013, DRC has played a lead role in responding to the current humanitarian crisis and internal displacement by providing camp management, protection, shelter/NIF, and food security and livelihoods services. 

DUTIES AND RESPONSIBILITIES: 

  • Donor Contracts: Maintain thorough knowledge of all DRC and DDG grant contracts to ensure understanding of contractual obligations and regulations at both the Juba and field levels. This will include reviewing contracts, facilitating grant agreement processes and amendments, liaising with the logistics department to ensure logistics and procurement compliance, developing facts sheets for each new contract signed, and ensuring all contractual milestones are regularly communicated to relevant project staff. As part of this responsibility, the Grants Manager will develop and maintain program summary documents which outline DRC and DDG`s ongoing projects, areas of operation, staffing, resources and general achievements.
  • Grants Management System: Assume responsibility as Grant Management System (GMS) focal point for the DRC and DDG South Sudan county program. Specific responsibilities will include managing and regularly updating all DRC and DDG projects in GMS, creating new project cards, milestones, installments, documents, status, outputs, beneficiary numbers and correcting discrepancies, in close coordination with counterparts in headquarters. In addition to managing the country program`s online grants system, the Grants Manager will also maintain and regularly update hard files for all ongoing DRC and DDG projects and assist in the coordination and preparation of project documents and files for internal and external audits.
  • Reporting: Coordinate with DRC and DDG project teams and finance department to ensure high quality and timely submission of donor reports. Ensure project teams are reminded of reporting dates, prepare reporting templates and provide guidance notes when necessary, edit and review for quality and clarity, and liaise with Head of Programmes, headquarters or country-level donors for final submission and necessary revisions. Essential to this responsibility are strong English language writing and editing skills. Supporting the reporting process, the Grants Manager will also be responsible for maintaining and sharing, on a monthly basis, an up-to-date Rolling Action Plan of key reporting milestones and due dates.
  • Proposal Development: Support the Head of Programmes and Team Leaders during the development of project proposals. Furthermore, the position will be tasked to develop and update a donor matrix, which maps current and potential donors for both DRC and DDG, their priorities, policies and anticipated calls for proposals. As part of the process, the Grants Manager will also support the Head of Programmes and Country Director to build and maintained positive donor relationships.
  • Grants Openings: In addition to ensuring all new projects are added and relevant documents uploaded to GMS, the Grants Manager will assist the Head of Programmes in organizing grants opening meetings and progress review meetings. Preparation for grants openings meetings will include compiling all relevant project documentation, developing summaries of project contracts and proposals, liaising with field teams and support functions, and supporting the development of implementation plans.
  • Induction: Participate in new staff inductions by providing relevant project documents, reporting deadlines and an introduction to GMS.

 

REPORTING ARRANGEMENTS

The Grants Manager will report directly to the DRC Head of Programmes, but will be expected to provide additional support to the Country Director and other senior program staff as requested.

 

ABOUT YOU

Successful candidates will have:

  • A relevant bachelor`s degree in international relations, development or related field and 2 to 3 years experience working internationally with an NGO, or a master`s degree and at least 1 years experience working internationally with an NGO.
  • Detail oriented with excellent English language writing and editing skills, and experience in proposal development and report writing. 
  • Experience working with European, US and UN donors, including DANIDA, ECHO, EC, BPRM, RRF, UNHCR and CHF.
  • Flexibility and adaptability for working under the pressure of multiple deadlines and competing priorities. Key to this characteristic is the ability to prioritize tasks.
  • Familiarity with key program areas including CCCM, protection, GBV, shelter/NFI and FSL.
  • Strong interpersonal and communication skills for engaging regularly with donors, other humanitarian organizations, and both national and expat staff. Cultural sensitivity is essential.
  • Experience working effectively in both a team and under minimal supervision.
  • Previous experience working in South Sudan or a similar context is preferred.  


START DATE:

You must be available to start work as soon as possible, with preference given to qualified candidates willing to start by early January.


WE OFFER:

DRC will offer the successful applicant a contract for 6 months, which will be renewable dependent on funding and performance. Salary and conditions will be in accordance with Danish Refugee Council’s Terms of Employment for Expatriates - please refer to www.drc.dk under Vacancies. This position will be placed at level A13.

The Grants Manager will be based in Juba, but is expected to travel to field locations when requested. South Sudan is a non-family duty station and applicants must be prepared to live and work in an unstable security environment with limited recreational and social facilities.
