RESPONSIBILITIES:

 

Reporting to the VP, the Department Manager will:

 

Operations

  • Work with Communications team members to develop consistent quarterly metrics, including a PowerPoint presentation, that spans Digital, Video, Media, Social and Internal Communications
  • Help to identify venues for and, with the VP, lead coordination of team operational reviews, offsites/workshops and meetings
  • Maintain annual leave, sick day, and vacation records of all department staff and proactively plan and consult for periods of high absence
  • Serves as Global Communications’ primary liaison with IT, Procurement, HR and Facilities
  • Support Global Communications employees’ onboarding and departure

 

Administration

  • Develop Global Communications weekly meeting agendas, including weekly pre-meeting agenda routing and preparation of our 90-day calendar
  • Supports the Communications VP with day-to-day calendar 
  • Orders and maintains inventory of department supplies
  • Helps to identify and screen vendors across Digital, Video, Media and Social

 

Budget & Financial Coordination

  • Maintains responsibility for the departmental office budget, including attending monthly meetings with the Communications VP and Finance colleagues
  • Meets with Communications VP regularly to discuss and provide recommendations for the annual department budget
  • Oversees purchasing and expense reconciliation with accounts payable

 

REQUIREMENTS:

  • Bachelor’s degree and/ or 4-5 years of administration/operations work experience  
  • Excellent organizational and leadership skills: the ability to work independently in a fast-paced, detail-oriented environment 
  • Strong sense of judgment and discretion
  • Solid grasp of NGO financial management and budgeting procedures
  • Excellent writing, editing and Microsoft Office skills, especially PowerPoint and Excel  
  • Knowledge of French and/ or Arabic (preferable)
