Role and Responsibilities
Ensure that up-to-date and relevant resources for marketing and fundraising activities are swiftly made available internally or to partners. Under the supervision of the Marketing and Relationships Resources Officer, manage Medair’s main photo, video, and text databases, keeping them tidy, organised, and continually improving, and help create briefing and training guides related to the management and use of the different information platforms. Assist in organising workshops and other activities involving field-based communications officers; provide procurement support including but not limited to contracting photographers, videographers, and journalists for field assignments and visits; and assist in various other departmental activities as needed.
Project Overview
Medair Headquarters (HQ) provides operational guidance for country programmes and activities, along with both technical and compassionate support for our relief workers. Within our headquarters, we are also responsible for promoting the work of Medair to the world, to raise and manage the funds needed to run our life-saving and sustaining programmes. Our headquarters teams are also responsible for recruiting international and HQ staff, and like our field teams, we are committed to serve the world’s most vulnerable with practical and compassionate care.

Key Activity Areas
Resources Library Support

Upload, add keywords, categorise, review and approve, and archive Marketing & Relationships library resources.

Regularly work on structuring and cleaning up libraries to keep them tidy, light, and easy to use.

Analyse reports on library usage, conduct focus groups, and bring suggestions for improvements based on user needs.
-
Liaise with service provider to obtain support when issues arrive and to stay aware of system updates and request implementation as relevant to Medair’s needs.

Develop and improve guidelines and training materials when necessary, and assist colleagues in need of support.

Perform light Photoshop work on photos.
-
Assist Resources Officer in providing resources to HQ / affiliate colleagues and partners, including collaboration and support of Integral Alliance resources sharing.
Photography & Video Equipment Management

Manage equipment, ensuring stock corresponds to needs and allocation forms are kept up-to-date.

Organise purchase of new equipment when needed.
Field-based Communication Officers Liaison
-
Brief Communications Officers on providing photos and video that adhere to Medair brand and quality standards and on using resource libraries. Develop guidelines / training materials as needed.

Provide regular feedback to Communications Officers as resources are uploaded.

Assist in the planning and logistical coordination of an annual workshop in Switzerland for field-based Communication Officers.
Procurement & Administrative Support

Carry out procurement and administrative procedures for photographer, videographer, and journalist field visits.

Assist with other departmental procurement needs.
International Headquarters - Team Spiritual Life

Degree in administration, library science, multimedia, photography or similar degree, or experience in relevant field
