The Centre

Since being founded in 2007, the International Civil Society Centre has established itself as the joint platform for the world’s leading international civil society organisations (ICSOs). The Centre’s aim is to improve the efficiency and effectiveness of ICSOs by bringing together the most important actors, facilitating communication and enabling cooperation. Our main events have become fixed dates in the calendars of key leaders in the civil society sector and we provide services to collective ICSO projects. A large number of the CEOs from leading ICSOs are regular participants in the Centre’s programmes and play a key role in defining and forming the activities. The Centre is currently offering a position as “Finance & Administration Officer”.

We are looking for an enthusiastic individual who wants to apply their finance and administration skills to a young and innovative organisation, aiming to improve the work of the world’s leading ICSOs. With a continuously growing annual budget of around 1 million €, the position offers the opportunity to take the lead in further developing the Centre’s financial procedures.      

Key Tasks

The Finance & Administration Officer works directly with the Deputy Executive Director (DED) to ensure professional and smooth financial and administrative processes at the Centre. Responsibilities include:

Financial administration, e.g.:

  • Planning and monitoring the Centre finances in coordination with the DED
  • Support in the development of the annual budget; preparation of end of year accounts and external audit process
  • Preparation of financial reports for internal and external use including updates for Board and Shareholders
  • Day-to-day bookkeeping and financial administration in cooperation with the team; maintaining existing financial systems including petty cash, expenses, income & expenditure records, processing all payments through cashflow and monthly bank reconciliation
  • Oversight of project budgets and budgets and reports submitted to donors
  • Main contact person for bank, tax advisor etc. 

Office Administration, e.g:

  • Facility management and oversight of office procedures
  • File organisation and management; inventory and ordering of office supplies
  • Main contact person for IT service providers, house administration etc.

HR Administration, e.g.:

  • Administration of work contracts and personnel files
  • Main contact person for personnel office and HR lawyer 

Requirements

  • At least one year work experience in financial and office administration
  • Relevant qualification in finance and administration
  • Self-starter, ambitious, reliable and well organised individual
  • Strong interest in the management and administration of ICSOs
  • Excellent organisational and coordination skills, ability to work under pressure and meet tight deadlines
  • Diligent and focused way of operating with strong attention to detail
  • Able to work both in a team and in a structured and independent manner
  • Strong communication skills, fluent in English and German
  • Excellent MS Office skills, in particular Excel
  • Experience with bookkeeping software (e.g. Quickbooks) is an asset

Working hours:           40 hours/week

Holidays:                    26 days p.a.

Salary:                        2.000 € - 2.500 €/month, depending on experience and qualifications
