Role & Responsibilities

Ensure that necessary support can be provided across the Programme Team units, under supervision by the International Programmes Manager, especially for administration and private funding collaboration with the Marketing & Relationships (M&R) team. Working as an important member of a diverse team who are committed to serve the world’s most vulnerable with practical and compassionate care, the Programmes Team Assistant (PTA) will prove key to the efficient and effective running of the team.

 

Medair Headquarters

Medair Headquarters (HQ) provides operational guidance for country programmes and activities, along with both technical and compassionate support for our relief workers. Within our headquarters, we are also responsible for promoting the work of Medair to the world, to raise and manage the funds needed to run our life-saving and sustaining programmes. Our headquarters teams are also responsible for recruiting international and HQ staff, and like our field teams, we are committed to serve the world’s most vulnerable with practical and compassionate care.

Internationally recruited field and headquarters staff lead the organisation, supported by nationally recruited staff to implement programmes locally.

Key Activity Areas

Programme & International Director Support

  • Maintain, and introduce where necessary, streamlined administrative processes to enable the team function efficiently and effectively in all administration tasks.

  • Support and review assigned fundraising proposals and reports in accordance with Medair and donor requirements.

  • Provide support capacity where needed and as prioritised by the IPM, working in close coordination with HCPs.

  • Participate in HQ Country Meetings as required, and manage good records of the team’s own meetings.

  • Provide administrative support to the International Director (up to 20%).

     

    Funding Support – especially Marketing & Relationships collaboration

  • Support the Programmes Team analyse, consult, communicate and review PRG- M&R Private Fundraising activities including communications materials (web updates, interviews, reports, appeals annual review, etc.).

  • Together with the Programme Funding unit, assist in maintaining donor relationships and developing new donor relationships.

     

    Technical Assistance

  • Support the team in cross-organisational activities such as the Cash Transfer Programming (CTP) working group and the Core Humanitarian Standard.

  • Support the team with internal information management including Portfolio MIS responsibilities.

  • Support and as appropriate coordinate technological projects which may include DRR Focal Point, UAV, LMMS and GIS.

  • Reflect the vision and values of Medair with team members, international team members, and external contacts.

  • Fully contribute to the rich spiritual life of your team, including team devotions, prayers, and words of encouragement.

  • Instigate and contribute to prayer times within internationally recruited staff and HQ teams.

    This job description covers the main tasks and conveys the spirit of the sort of tasks that are anticipated proactively from staff. Other tasks may be assigned as necessary according to organisational needs.

     

    Qualifications

  • University degree in related field.

  • Masters in related field desirable.

     

    Languages

  • Strong working knowledge of English (spoken and written).

  • Working knowledge of French (spoken and written) desirable.

Experience / Competencies

  • At least 1 year of professional experience.

  • Experience in dealing with institutional donors and government officials.

  • Familiar with inter-cultural differences, preferably with developmental experience.

  • Networking and advocacy skills.

  • Tactful, multi-level communication, team building and interpersonal skills.

  • Strong people centred attitude.

  • Capable to develop and motivate people in a servant and supportive manner.

  • Capacity to work under pressure and manage personal stress levels.

  • Creative, open-minded, flexible, self-learner.

Relief experience

  • Experienced Relief Workers and those without field experience.

    Professional

  • Experienced professionals in a relevant Medair sector of expertise.

  • Overseas intercultural work experience desirable.

    Language

  • Strong working knowledge of English, spoken and written.
