Administrative and Grants Officer

Europe Asia Unit, Operations Division,

International Department, Copenhagen

 

Danish Refugee Council (DRC) is advertising for an experienced and independent Administrative and Grants Officer who is used to taking responsibility and working in an international and dynamic environment.

 

Background

The core of DRC’s international mandate is the protection of refugees and internally displaced people and the promotion of durable solutions on the basis of humanitarian principles and human rights. Our activities range from emergency interventions through early recovery to development. The Europe Asia Unit consists of country operations in Serbia & Montenegro, Kosovo, North Caucasus, Georgia, Sri Lanka, Bangladesh and Myanmar.

The Europe Asia Unit in the Copenhagen HQ consists a Head of Unit (HoU), two Programme and Operations Coordinators (POCs) and one Administrative and Grants Officer (AGO). The Unit is one of six geographically based units in the Operations Division (36 Staff) of the International Department (78 Staff).

 

Main tasks and responsibilities

The purpose of the position is to: 

  • Supervise and support the existence of a well-functioning and updated grants management / reporting system;
  • Take the lead in organising the joint follow-up and monitoring of financial expenditure, donor reporting and other mandatory reporting from the field;
  • Support the Head of Unit, HQ Specialists and field staff in acting on deviations from financial targets;
  • Maintain an overview of expatriate staffing and perform residual administrative tasks in relation to HR;
  • Act as liaison and HQ resource for the Europe Asia Unit and the country programmes;
  • Provide ad hoc support in relation to various administrative tasks in the Europe Asia Unit and Operations Division.

 

The AGO reports to the HoU and works closely with the POCs, HQ based finance teams and field based finance & administrative staff.

 

Main qualifications

  • Relevant educational background
  • Experience with grants management including donor relations and preferably knowledge about donor guidelines and procedures.
  • Flair for numbers and experience with MS Excel and management of project finances. Knowledge of Navision is an advantage.
  • Fluency in written and spoken English.
  • Experience with administrative procedures.
  • Proactive, flexible and detail oriented approach to tasks and a service minded approach to supporting operations in the field.
  • Good collaboration and communication skills and ability to build good working relations with people from different cultural backgrounds.
  • Interest in and preferably experience with development and/or humanitarian work and ability to thrive in a fast-paced working environment.

 

Terms

The post is ideally to be filled by 1. September 2014. Salary and terms are in accordance with the agreement between DRC and the HK trade union. The position is temporary and terminates on 31. December 2015. The AGO will occasionally travel to relevant programme countries
