Background:

The Women’s Refugee Commission (WRC) is a research advocacy organization that seeks to improve the lives and protect the rights of women, children and youth displaced by conflict and crisis. We research their needs, identify solutions and advocate for programs and policies to strengthen their resilience and drive change in humanitarian practice. The Women’s Refugee Commission is a nonprofit 501 (c) 3 organization.

SCOPE OF WORK:

The Office Administrator is responsible for managing a range of administrative, logistical, and support services for the 6 staff based in the Washington DC office. The position reports directly to the Director of the Migrant Rights and Justice Program, works closely with colleagues in the Washington office, coordinates with colleagues in New York, and liaises with parties outside of the organization.

RESPONSIBILITIES:

  • Oversee the operations and maintenance of the DC office, including purchasing and managing office supplies, equipment, and technology.
  • Serve as point of contact for all office vendors, including Comcast, Phone vendor, Copier/Printer vendor, and IT consultant.
  • Maintain DC office records, including emergency contact information. Serve as point person for general building and office security.
  • Liaise with Finance department in New York regarding payment of DC office bills, purchases and to monitor grant spending.
  • Orient all new Washington DC employees to general DC and WRC procedures, including helping with IT/office set-up.
  • Maintain inventory of office equipment including computers, office phones, cell phones, etc
  • Receive guests at the office and respond to general inquiries in person and on the phone.
  • Create and maintain relevant program files, folders, and listservs.
  • Coordinate and manage the logistics for both on-site and off-site meetings and events, including conference calls, events, or workshops.
  • Provide administrative support as needed for Directors of Advocacy and Migrant Rights and Justice.
  • Assist with travel arrangements, conference registrations, and membership renewals.
  • Work with finance department to process payments for consultants and financial reimbursements for staff.
  • Assist programs with mailing and shipping needs.
  • Other support tasks as needed.

 

REQUIREMENTS:

  • Bachelor’s degree and 1-3 years experience.
  • Strong IT and computer skills
  • Demonstrated experience with basic budget coding and tracking
  • Proven attention to detail: the ability to track and process multiple details simultaneously and accurately.
  • Track record of coordinating projects with minimal supervision.
  • Excellent interpersonal and communication skills.
  • Flexible work attitude: the ability to work productively in a fast-paced environment with a small staff and to “pitch in” as needed to help get everyone’s job done.
  • Ability to use sound judgment in maintaining confidential information.
